Plain English, no fine-print tricks — here's exactly what information we collect when you plan a trip with us, why we collect it, and the choices you have.

The short version

We collect only what we need to plan and run your trip. We never sell your data. We share your details only with the hotels, airlines and partners who actually deliver your holiday. And you can ask us to show, correct or delete your information any time — on WhatsApp, by email or by phone.

Who we are

Outbound Travelers ("we", "us", "our") is a travel company based in Nagercoil, Kanyakumari district, Tamil Nadu, India. We plan and operate domestic and international holiday packages, and we run this website, our WhatsApp business line and our social media channels.

This policy explains how we handle your personal information when you browse our website, send us an enquiry, chat with us on WhatsApp, or book and travel with us. By using our website or sharing your details with us, you agree to the practices described here.

What information we collect

Details you give us

  • Identity & contact details — your name, phone number, email address and city, shared through our enquiry forms, WhatsApp or calls.
  • Trip details — destination, travel dates, number of travellers, budget range and any preferences you tell us (honeymoon, family trip, dietary needs, accessibility requirements and so on).
  • Travel documents — for confirmed bookings we may need passport copies, visa details, PAN (where TCS applies to international packages), and government ID for domestic travel and permits.
  • Payment details — records of payments you make to us. Card and UPI payments are processed by banks and payment providers; we do not store your card numbers, CVV or UPI PIN.
  • Communications — messages you exchange with our planners on WhatsApp, email or phone, and any reviews or feedback you share.

Details collected automatically

  • Website usage — pages visited, approximate location, device and browser type, collected through cookies and analytics tools (see Cookies & analytics).

How we use your information

  • To plan and quote your trip — build itineraries and share package options that fit your dates and budget.
  • To make your bookings — reserve flights, hotels, transfers, activities, permits and visas on your behalf.
  • To support you while you travel — our on-trip support team uses your itinerary and contact details to help you 24×7 during your trip.
  • For billing and legal compliance — invoices, GST records, TCS filings for overseas packages, and other obligations under Indian law.
  • To improve our service — understand which destinations and pages travellers are interested in.
  • To stay in touch — send you your quotes, booking updates and, only if you're okay with it, occasional offers and travel ideas. You can opt out of promotional messages any time by replying "STOP" on WhatsApp or using the unsubscribe link in emails.

WhatsApp & how we communicate

We are a WhatsApp-first company — most quotes, confirmations and on-trip support happen there. When you message us on WhatsApp, or share your number in an enquiry form, you consent to us contacting you on WhatsApp and by phone about your enquiry and bookings.

WhatsApp is operated by Meta and has its own privacy policy that applies to messages on its platform. We recommend not sending full card details or passwords over chat — we will never ask for them.

Who we share your information with

We never sell or rent your personal information. We share it only where it's needed to deliver your trip or where the law requires it:

  • Travel suppliers — airlines, hotels, transport providers, local tour operators and activity providers who deliver parts of your itinerary. They receive only what they need (for example, a hotel gets guest names and dates, not your payment history).
  • Visa and permit processing — consulates, visa facilitation centres and permit authorities, when your package includes visa or permit assistance.
  • Insurance providers — if you opt for travel insurance through us.
  • Payment providers — banks and payment gateways that process your payments securely.
  • Service tools — the software we use to run the business (for example CRM, invoicing and analytics tools), bound by their own confidentiality and security terms.
  • Legal requirements — government authorities, where disclosure is required under applicable law.

Some suppliers (for example hotels in Bali or the Maldives) are located outside India. Where your details are shared internationally, we share only what is necessary to operate your booking.

Cookies & analytics

Our website uses cookies and similar technologies to remember your preferences and understand how visitors use the site. Analytics data is aggregated — it tells us things like "many visitors read the Bali page", not who you are.

You can block or delete cookies through your browser settings. The site will still work; some features may just be less convenient.

How long we keep your data

  • Enquiries that don't become bookings — kept for a reasonable period so we can pick up the conversation if you come back, then deleted or anonymised.
  • Bookings and invoices — kept as long as required by Indian tax and company law.
  • Travel documents — passport and ID copies are kept only as long as needed for your booking, visas and any post-trip issues, then deleted.

Your rights & choices

Under Indian data-protection law (including the Digital Personal Data Protection Act, 2023), you can:

  • Access — ask what personal information we hold about you.
  • Correct — ask us to fix inaccurate or outdated details.
  • Delete — ask us to erase your information, where we're not legally required to keep it.
  • Withdraw consent — opt out of promotional messages at any time; this won't affect service messages about an active booking.
  • Raise a grievance — if you believe we've mishandled your data, contact us (details below) and we'll respond promptly.

How we protect your data

We use reasonable technical and organisational safeguards to protect your information — access to booking and document data is limited to the team members who need it, and payments are handled by secure, PCI-compliant payment providers. No system is 100% secure, but if we ever become aware of a breach affecting your data, we will inform you and the relevant authorities as required by law.

Children's privacy

Our website and marketing are directed at adults. We collect children's details (names, ages, ID for permits and flights) only from a parent or guardian as part of a family booking, and use them solely to operate that trip.

Changes to this policy

We may update this policy from time to time as our services or the law change. The "Last updated" date at the top tells you when it was last revised. Significant changes will be highlighted on this page.
