Your booking is confirmed once your advance is paid and you receive written confirmation from us. Quoted prices state what's included — GST, and TCS where it applies to international packages. Cancel 45+ days before departure for the fullest refund; closer to departure, supplier charges apply. Passports and visas are ultimately your responsibility — but we guide you through every step.
1. These terms
These terms and conditions apply to all holiday packages, group departures and travel services booked with Outbound Travelers ("we", "us", "our"), Nagercoil, Kanyakumari district, Tamil Nadu, India. By paying a booking advance, you (and everyone you book for) accept these terms together with the specific inclusions, exclusions and trip terms shared in your quote.
If anything in your written quote differs from this page, the quote prevails for that booking.
2. Bookings & confirmation
- Quotes are prepared for your requested dates and traveller count, and are subject to availability until confirmed.
- Your booking is confirmed when we receive the booking advance stated in your quote and you receive a written confirmation (usually on WhatsApp or email) from us.
- The person making the booking confirms they are 18 or older and authorised to accept these terms for every traveller in the group.
- Please check names, dates and traveller details on your confirmation immediately — corrections after tickets are issued can attract airline or supplier fees.
3. Pricing, taxes & payment
- All prices are in Indian Rupees (INR) unless stated otherwise.
- Your quote always states what is included and excluded — including GST and, for international packages, TCS (Tax Collected at Source) where it applies.
- TCS on overseas tour packages is collected under Indian income-tax rules against the PAN of the person paying. It is not a fee we keep — you can adjust it against your tax liability when filing your income-tax return.
- Prices can change until your booking is confirmed — airfares, currency rates and hotel inventory move daily. Once confirmed and paid as scheduled, your price is locked except for changes in government taxes or levies.
- The balance payment is due as per the schedule in your quote or invoice, and in any case before departure. If a scheduled payment is missed, we may treat the booking as cancelled under the cancellation terms below.
4. Cancellations & refunds
Plans change — here's how cancellation works if you need to call a trip off. Cancellation requests must be sent to us in writing (WhatsApp or email) and take effect from the date we receive them.
| When you cancel | What you get back |
|---|---|
| 45+ days before departure | Full refund of everything paid, minus non-refundable airline, visa or permit fees already incurred. |
| 44–21 days before departure | Refund minus the booking advance and any non-refundable supplier fees. |
| 20 days or fewer | Cancellation charges apply as per the trip terms shared at booking — many suppliers are fully non-refundable this close to departure. |
| No-show / mid-trip | No refund for unused services once travel has begun. |
- Where a specific package or group departure carries its own cancellation terms (for example, festival dates or charter departures), those terms are shared at booking and prevail.
- Refunds are made to the original payment method. We initiate them promptly once your cancellation is confirmed; bank and payment-provider timelines then apply.
- If a visa is refused, cancellation charges still apply as above — visa fees themselves are non-refundable.
5. Changes by you
Want to shift dates, upgrade a hotel or add a traveller? Tell your planner as early as possible. Changes are subject to availability and any fare or rate difference, plus fees charged by airlines, hotels or other suppliers. A date change requested close to departure may amount to a cancellation and rebooking under the suppliers' rules.
6. Changes by us & force majeure
- Occasionally we must adjust an itinerary — a hotel overbooks, a ferry schedule shifts, weather closes a route. Where that happens, we provide a comparable or better alternative at no extra cost, and tell you as soon as we know.
- Events beyond anyone's control — natural disasters, severe weather, epidemics, strikes, civil unrest, government or airline actions ("force majeure") — may force changes or cancellation. In these cases we pass on whatever refunds suppliers provide and help you rebook, but we cannot be liable for costs that suppliers do not refund.
- In the rare case that we must cancel a trip for reasons within our control, you choose between a full refund of what you've paid us or an alternative trip of equivalent value.
7. Passports, visas & travel documents
- Every traveller is responsible for holding a valid passport (generally with at least 6 months' validity from the return date for international trips), valid visas and any required permits.
- We assist with visa documentation and applications where your package includes it, but the decision to grant a visa rests solely with the consulate or immigration authority.
- For domestic destinations that need permits (for example, certain areas of the Andaman Islands), carry the government photo ID used at booking.
- If you are denied boarding or entry due to missing or invalid documents, it is treated as a no-show — no refund is possible for unused services.
8. Travel insurance
Travel insurance is not automatically included unless your quote says so. We strongly recommend cover for trip cancellation, medical emergencies and baggage — especially for international trips — and can arrange it as an optional add-on. Claims under any policy are between you and the insurer.
9. Health, safety & traveller conduct
- Please tell your planner at booking about any medical conditions, reduced mobility or dietary needs so we can plan around them. Some activities (trekking, water sports, high-altitude stays) need reasonable fitness.
- You are responsible for complying with local laws and customs at your destination, and with the rules of hotels, airlines and activity providers.
- We (or our suppliers) may refuse or discontinue service to any traveller whose behaviour endangers others or disrupts the trip, without refund for unused services.
10. Our responsibility & limits of liability
- We plan your trip and book it with carefully chosen suppliers — airlines, hotels, transport operators and local partners — who deliver those services under their own terms and conditions.
- We are responsible for arranging your bookings with reasonable skill and care, and for our 24×7 on-trip support. We are not liable for acts, omissions or service failures of independent suppliers, or for injury, loss, damage or delay caused by circumstances beyond our reasonable control.
- To the maximum extent permitted by law, our total liability for any claim connected to a booking is limited to the amount you paid us for that booking.
- Nothing in these terms limits rights you have under applicable Indian consumer-protection law.
11. Website & content
All content on this website — text, photographs, logos, itineraries and design — belongs to Outbound Travelers or its licensors and may not be reproduced commercially without permission. Itineraries, prices and inclusions shown on the website are indicative; your written quote is the authoritative version for your booking. We occasionally share trip photos and reviews on our channels — tell us if you'd prefer yours not to be used.
12. Governing law & jurisdiction
These terms are governed by the laws of India. Any dispute arising out of a booking or these terms is subject to the exclusive jurisdiction of the courts of Kanyakumari district, Tamil Nadu. That said — talk to us first. Almost every issue is resolved faster over a phone call than in a courtroom.
